the challenge

As the business evolved, so did the number of tools supporting it.

Customer enquiries arrived through the website. Consultations were scheduled through calendars. Payments were collected through one platform. Invoices were managed elsewhere. Emails lived inside another application. Project information existed inside the business platform. Files arrived through different channels.

Individually, every tool performed its job well. Collectively, they created operational friction.

The same customer information needed to be entered multiple times. Payments had to be manually reconciled with accounting. Invoices were created separately from the customer journey. Consultation emails required manual editing depending on the service type. Project updates became dependent on remembering which platform contained the latest information.

Nothing was technically broken. But every workflow relied on the founder acting as the connection between systems. As the number of customers increased, so did the administrative effort required to keep everything synchronised.

The business didn't need more software. It needed its existing software to work together.

The obvious solution would have been replacing existing tools with one large platform. Instead, we asked a different question.

What if every specialised system could continue doing what it does best, while a single operational layer quietly connected everything behind the scenes?

That shifted the project entirely. Rather than rebuilding accounting, calendars or email systems, we designed an orchestration layer that coordinated them. The business could continue using familiar tools while every workflow became connected, automated and traceable.

The objective wasn't centralisation. It was creating a single operational experience from multiple specialised services.

Each new operational challenge exposed another opportunity for integration. Every solved problem revealed the next bottleneck, and the platform gradually evolved from a customer management tool into the operational backbone of the business.

    Customer management

    The first improvements focused on customer management, bringing consultations, projects and client information into one place. A single view of the customer replaced the scattered records that used to live across tools.

    Payment tracking

    As consultation volumes increased, payment tracking became the next challenge. The platform introduced payment status management so every project clearly reflected where each client stood.

    Accounting sync

    Rather than creating a second accounting system, we connected directly with the client's existing accounting platform. Invoices, customer records and payment information now move automatically between systems.

    Calendar and communication

    Calendar bookings became automated, consultation invitations were generated automatically, meeting links synchronised without manual intervention, and follow-up emails adapted depending on consultation type.

One source of operational truth

Rather than allowing each platform to become independently updated, the business platform became the central operational layer. Customer information flows between connected services while maintaining consistency throughout the customer lifecycle, removing duplicate data entry and reducing opportunities for human error.

Accounting without duplication

Financial workflows were integrated directly with the existing accounting system instead of recreating accounting functionality. Invoices are generated automatically, customer records stay synchronised, payment links are attached, and completed invoices are written back into the operational platform. Additional safeguards prevent duplicate invoices while maintaining complete traceability.

Communication becomes part of the workflow

Transactional communication was redesigned around the customer journey rather than isolated emails. Consultation confirmations, preparation instructions, invoice notifications and project updates are generated within the operational workflow itself. Templates adapt depending on consultation type, ensuring every customer receives relevant information without manual editing before each send.

Designed for reliability

Behind every automated workflow are engineering decisions designed to minimise operational risk. Background processing, retry mechanisms, validation, audit history, webhook verification and idempotent operations ensure integrations remain reliable even as the business grows. Automation only creates value when it can be trusted.

The accounting platform remains responsible for accounting. The operational platform remains responsible for customer workflows. Each system performs the role it was designed for.
